Privacy Policy

This section applies to authorised users of the Rubbish Removal UK mobile application (the “App”), including drivers, subcontractors, and driver managers. It supplements our general Privacy Policy found at rubbishremoval.uk.

Information We Process

The App processes information necessary to manage assigned waste collection jobs and provide proof of service. This may include:
• Account Data: Driver or manager account information, including name, email address, role, and authentication information.
• Job Details: Job information, including customer name, pickup address, telephone number, collection date, time window, job description, notes, company or site contact details, assignment information, and job status.
• Photos: Photos taken with the device camera or selected from the device photo library after a job is completed. These photos are used strictly as visual proof of work and for condition reporting. Drivers are instructed to capture only the waste and collection area, and to avoid photographing people or unrelated personal property wherever possible. Any incidentally captured visual data is handled securely under our strict retention policies.
The App does not request precise device location access or continuously track the user’s location.

Camera and Photo Library Access

The App requests camera permission only when a driver chooses to take a completion photo. It requests photo-library permission only when a driver chooses to upload an existing photo. These permissions are used to submit job-related photos and are not used for advertising or unrelated purposes.

How Information Is Transmitted and Stored

App data is transmitted to our API using HTTPS/TLS encryption. Completion photos are uploaded using a secure, time-limited upload link to private Cloudflare R2 storage. Photo records and job information are stored in our secure company systems and are accessible only to authorised personnel and service providers acting on our behalf.
We do not sell personal information. We may share information with authorised technology, hosting, cloud-storage, communications, and mapping providers where necessary to operate the App and provide our services, or where required by law.
When a user opens an address in Google Maps, or chooses to call or message a customer, the relevant address or telephone number may be passed to the selected third-party mapping, telephone, or messaging application. Those services operate under their own privacy policies.

Retention

We retain job information, audit records, account information, and completion photos only for as long as reasonably necessary for operational, legal, regulatory, accounting, dispute-resolution, and business purposes. Completion photos are currently scheduled for a retention period of up to 12 months unless a longer period is required for legitimate legal or operational reasons.

Account Management and Deactivation

User accounts for this App are provisioned, managed, and distributed exclusively by the company for authorized drivers, subcontractors, and managers; the App does not feature or permit user-facing account creation.
Because accounts are managed enterprise credentials, users wishing to have their access deactivated or associated driver profile data reviewed may contact the company administrator directly at: office@rubbishremoval.uk. We process administrative requests within 30 days, subject to statutory business data retention, legal, regulatory, and auditing requirements. Some job records and photographs may need to be retained after account deactivation where required by law or necessary to maintain business records.
